Terms of Service
The agreement that covers your use of the FieldSummit website, demo and service.
Effective October 28, 2026. Last updated October 28, 2026.
1. About these terms
These Terms of Service (“Terms”) are an agreement between RoadReviveGarage, an Illinois limited liability company (“FieldSummit”, “we”, “us”), and you. They cover our website at fieldsummitapp.com, the FieldSummit demo, and the FieldSummit subscription service (together, the “Service”).
If you use the Service for a company, “you” means that company, and you confirm that you have authority to accept these Terms for it. Before account creation or demo access, we will present these Terms and ask for your affirmative acceptance. Merely browsing the public website does not constitute acceptance of subscription obligations.
These documents are part of these Terms:
- the Billing, Cancellation and Refund Policy;
- the Acceptable Use Policy; and
- for business customers, the Data Processing Addendum.
Our Privacy Policy explains how we handle personal information.
2. FieldSummit is in pre-launch
FieldSummit subscriptions are not on sale yet, and no payment is taken on this website. Prices on the website are planned prices and may change before subscriptions open. Features described on the website, including features marked “Planned”, may change, arrive later than planned or not be released. Please do not rely on a planned feature until it is available in your account.
The billing terms in section 11 and our Billing, Cancellation and Refund Policy apply once subscriptions open and you buy one.
3. Who may use FieldSummit
FieldSummit is for businesses, such as HVAC and similar contractor companies, and their staff. It is not for personal, family or household use. You must be at least 18 years old to create an account. You are responsible for the people you invite to your account and for what they do in it.
4. Website and demo
- Screens and videos on the website show a fictional sample company and made-up data.
- Demo access is given on request with an access code. Keep your access code to yourself. We may change, limit or end demo access at any time.
- The demo uses a fictional sample company. Do not enter real customer information or other real personal information into the demo. We may reset or delete demo data at any time.
- The demo is provided free of charge and as is, for evaluation only.
5. Accounts
- Give us accurate account information and keep it up to date.
- Each user needs their own sign-in. Do not share sign-in details.
- Keep sign-in details confidential and tell us promptly at support@fieldsummitapp.com if you think someone has used your account without permission.
- Your account administrators control who has access to your company’s account and what each user can do.
- You are responsible for activity in your account, except activity caused by our failure to meet these Terms.
6. Your data
- You own your data. The customer records, jobs, notes, photos, video, voice transcripts, estimates, invoices, price books and other content that you or your users put into the Service (“Customer Data”) belong to you. We do not claim ownership of it.
- Permission to run the Service. You give us permission to host, copy, process, transmit and display Customer Data only as needed to provide, secure and support the Service for you, including the AI features you choose to use, and as described in our Data Processing Addendum.
- Your responsibilities. You are responsible for having the right to put Customer Data into the Service, and for giving any notices and getting any consents your customers and staff are owed. This includes following the law on taking photos and video and recording audio at customer premises. Illinois and some other states require everyone in a private conversation to agree before it is recorded.
- Separation. Each company’s data is kept separate from other companies’ data in the Service.
- Exporting. You can ask us for an export of your Customer Data at any time while your account is active and for 30 days after it ends.
- Service data. We may use information about how the Service is used and performs, in a form that does not identify you, your users or your customers, to run and improve the Service.
7. Your customers
FieldSummit lets you send estimates and similar pages to your own customers by secure link. Anyone who has the link can open it, so send links only to the right person. You are responsible for the content of your estimates, prices, invoices, warranties and the work you perform. Your customers deal with you, not with FieldSummit, and FieldSummit is not a party to your agreements with them.
Online card payments inside FieldSummit are not available yet. Invoices can record payments you receive outside FieldSummit, such as cash, check, card or bank transfer. If we add online payments later, additional terms from us and from the payment provider will apply.
8. AI features
Plans that include AI come with monthly AI credits for AI features such as a technician assistant, photo analysis and voice transcription. These features are powered by OpenAI. By using them, you agree that:
- Technicians make the final decisions. AI output is a suggestion only. A qualified technician must review it, apply professional judgment and verify it before acting on it or sharing it with a customer. The technician decides what to accept, change or reject.
- AI can be wrong. AI output can be inaccurate, incomplete or out of date. It does not replace manufacturer instructions, codes, safety procedures, measurements or your own diagnosis.
- No safety determination. AI output is not a determination that equipment is safe, repaired or compliant. You remain responsible for safety and for the work you perform and describe to your customers.
- Data sent to OpenAI. When you use AI features, the information needed for that feature is sent to OpenAI to produce a result, as described in our Privacy Policy. Do not use AI features with information you do not have the right to share for that purpose.
- Use within the rules. You will use AI features in line with our Acceptable Use Policy and OpenAI’s usage policies.
How AI credits work is described in our Billing, Cancellation and Refund Policy.
9. GPS tracking add-on
If you turn on the optional GPS tracking and route planning add-on, the technician app may collect the location of your technicians’ devices while they are working. You are responsible for telling your staff about location tracking, getting any consent the law requires, and using location data only for legitimate business purposes such as dispatch, routing and job records.
10. Acceptable use
You will follow our Acceptable Use Policy and make sure your users do too. We may suspend access that we reasonably believe breaks that policy or puts the Service, our other customers or anyone else at risk. Where practical, we will tell you first and give you a chance to fix the problem.
11. Fees, billing and renewal
When subscriptions open, these terms apply. Full details are in our Billing, Cancellation and Refund Policy.
- Monthly subscription. Plans are priced by company size, based on the number of technicians, and are billed monthly in advance. Add-ons, such as GPS tracking, are billed monthly with your plan.
- Automatic renewal. Your subscription renews automatically each month, and we charge your payment method at the start of each billing period, until you cancel.
- Cancel any time. You can cancel at any time. Cancellation takes effect at the end of your current billing period, and you keep access until then.
- Refunds. Except for refunds expressly provided in these Terms or the Data Processing Addendum, required by law, or due to our billing error, we do not refund partial billing periods or unused AI credits.
- Company size. If your company grows into a larger size, the price for the larger size applies.
- Price changes. We will give you at least 30 days’ notice before a price change applies to your subscription.
- Taxes. Prices do not include taxes. You are responsible for any sales, use or similar taxes that apply.
- Payments. Payments are processed by Stripe. Returning from a payment page does not by itself change your plan; your plan follows our billing records.
12. Third-party services
The Service relies on third-party providers, such as hosting, AI and payment providers. Our current providers are listed on our Sub-processors page. We are responsible for the providers we choose to use to deliver the Service. If you choose to use a third-party product or service with FieldSummit, that provider’s own terms apply, and we are not responsible for it.
13. Availability, support and changes
- We work to keep the Service available and running well, but we do not promise that it will be uninterrupted or error-free, and we do not offer an uptime guarantee.
- We may perform maintenance and may update or change features. If we remove a feature that is a material part of your paid plan, we will tell you in advance where practical, and you may cancel.
- Support is available by email at support@fieldsummitapp.com.
- We make database backups for our own recovery purposes. Keep your own copies of records you are required to keep for your business; do not use the Service as your only copy.
14. Our property and feedback
FieldSummit, its software, design and documentation belong to us and our licensors. We give you a limited, non-exclusive, non-transferable right to use the Service for your internal business purposes while these Terms are in effect. If you send us ideas or feedback, we may use them without any obligation to you.
15. Term, suspension and termination
- These Terms apply from when you first use the Service until your account ends.
- You may cancel your subscription at any time as described in section 11.
- We may suspend or end your access if you do not pay fees when due, materially break these Terms, if the law requires it, or if your use puts the Service or others at risk. Where practical, we will give you notice and a reasonable chance to fix the problem first.
- If we end the Service or your account for our own convenience, and not because of your breach, we will give you at least 30 days’ notice and refund any fees you prepaid for the period after it ends.
- After your account ends, you can ask us for an export of your Customer Data for 30 days. We then delete Customer Data within 90 days after the account ends, except for copies in backups, which roll off on their normal cycle, and records we must keep by law.
- Sections that by their nature should continue after the account ends will continue, including sections 6, 14, 15, 16, 17, 18, 19 and 21, and any fees owed.
16. Disclaimers
Except as expressly stated in these Terms, the Service is provided “as is” and “as available”. To the fullest extent the law allows, we disclaim all other warranties, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, title and non-infringement. We do not warrant that AI output, estimates, prices, equipment information or other content in the Service is accurate, complete or suitable for a particular job. The demo and any pre-launch or preview features are provided without any warranty. We do not claim any third-party security or compliance certification.
17. Limitation of liability
To the fullest extent the law allows:
- Neither party is liable to the other for any indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue or business, even if it was told they were possible.
- Each party’s total liability arising out of or relating to these Terms or the Service is limited to the fees you paid to FieldSummit for the Service in the 12 months before the event that gave rise to the claim, or $100 if you paid nothing.
These limits do not apply to your obligation to pay fees you owe, to either party’s indemnity obligations in section 18, to liability for gross negligence, fraud or willful misconduct, or to any liability that cannot be limited by law.
18. Indemnity
- By you. You will defend us against any third-party claim arising from your Customer Data, your use of the Service in breach of these Terms or the Acceptable Use Policy, or the work and services you provide to your own customers, and you will pay any resulting damages, costs and reasonable attorneys’ fees finally awarded or agreed in settlement.
- By us. We will defend you against any third-party claim that the Service, as we provide it, infringes that party’s United States patent, copyright or trademark or misappropriates its trade secret, and we will pay any resulting damages, costs and reasonable attorneys’ fees finally awarded or agreed in settlement. This does not apply to claims caused by Customer Data, by your changes to the Service, or by combining the Service with something we did not provide. If such a claim is made or likely, we may get you the right to keep using the Service, change it so it does not infringe, or, if neither is reasonable, end your subscription and refund fees you prepaid for the remaining period.
- Process. The party asking for defense must tell the other party promptly about the claim, let it control the defense and settlement, and give reasonable help at its expense. A settlement that requires the protected party to admit fault or pay money needs that party’s consent, which it will not unreasonably withhold.
19. Governing law and disputes
These Terms are governed by the laws of the State of Illinois, without regard to its conflict-of-laws rules. Before filing a claim, each party agrees to try to resolve the dispute informally by contacting the other in writing and talking in good faith for at least 30 days. Any dispute that is not resolved will be brought only in the state and federal courts located in Illinois, and each party agrees to the jurisdiction of those courts. Either party may seek urgent relief from a court to protect its rights at any time.
20. Changes to these Terms
Changes apply prospectively and do not alter accrued claims or authorize new uses of previously collected information contrary to the commitments that applied when it was collected. We will obtain affirmative acceptance where applicable law requires it. We may update these Terms. If we make a material change, we will tell account holders by email or in the app at least 30 days before it takes effect. Smaller changes, such as clarifications, take effect when we post them here with a new “Last updated” date. If you do not agree to a change, you may cancel before it takes effect. If you keep using the Service after a change takes effect, you accept it.
21. General
- Entire agreement. These Terms, including the documents listed in section 1, are the whole agreement between you and us about the Service. If there is a conflict, the Data Processing Addendum controls on data protection, the Billing, Cancellation and Refund Policy controls on billing, and these Terms control on everything else.
- Notices. We may send you notices by email to your account’s contact address or in the app. You may send notices to support@fieldsummitapp.com or by mail to the address below.
- Assignment. Neither party may transfer these Terms without the other’s consent, except to a company that takes over all or most of its business or assets as part of a merger, acquisition or reorganization, with notice to the other party.
- Events beyond control. Neither party is responsible for a delay or failure caused by events beyond its reasonable control, such as natural disasters, widespread internet or utility outages, or acts of government. This does not excuse payment of fees owed.
- Severability and waiver. If any part of these Terms cannot be enforced, the rest stays in effect. Not enforcing a part of these Terms is not a waiver of it.
- Relationship. The parties are independent contractors. These Terms do not create a partnership, agency or employment relationship, and they give no rights to anyone else.
- Export and sanctions. You will not use the Service in breach of United States export control or sanctions laws.
